# AI Email Rule Templates: Exact Text, Word for Word

A booking link or a required legal sentence has to arrive exactly as written. Insulin's Inbox rules offer three ways to send text, and a rule older than email templates has none until you change its description and save it.

_An AI email rule template is the text an email rule must send word for word, such as a booking link or a required legal sentence, plus guidance for writing the rest of each reply. In Insulin’s Inbox, saving a rule whose description includes such text records it as the rule’s Email template, and a rule saved before email templates existed has none until you change its description and save it again._

Start with the rules you already have. An Inbox rule saved before email templates existed has no template, however plainly its description spells out the booking link or the legal sentence. It can only get one when you change the description and click **Save** again. Renaming the rule doesn’t count, because changing only the name just renames it.

Then decide how the exact text should travel. A rule can put words in front of a recipient three ways: written fresh by the AI for each email, through an Email template that keeps fixed blocks word for word, or with **Always send the same text**, which sends one saved reply verbatim. Below, the three sit side by side: what goes out, on which rule mode, and where a person can still change the words. ## How do you add an email template to a rule you already have?

**Change the rule’s description, save it again, then check Details.** A rule saved before email templates existed has none until you do, and **Save** is the step that records a template: one click turns your description into a structured rule and saves it.

1.  Open **Settings → Rules** and select the rule.
2.  Open **Details**. It shows the rule’s **Email template** only when the rule has one.
3.  If there is none, edit the description so it quotes the exact text and says it must go out exactly as written, then click **Save**. Saving runs an AI model and takes a few seconds, so don’t refresh while it works.
4.  Open **Details** again and compare each fixed block with your original, links and punctuation included.

**Save** checks everything the rule needs before it writes anything. If a prerequisite is missing, such as an AI model or an enabled mailbox, Save fails and nothing is written, so the rule keeps running as it was. A rule set to **Send automatically** must also compile to one exact, narrowing condition, or Save refuses it with _Nothing was saved._ and the reason.

## What is an AI email rule template?

**An AI email rule template is the fixed text a rule must send exactly as written, plus guidance for writing everything around it.** In Insulin’s Inbox it is the rule’s **Email template**, and **Details** shows it under _Fixed text goes out word for word; the rest is written for each recipient_: the fixed blocks first, then the guidance for writing the rest.

There is no template field to fill in. The rule editor has two fields, a name and a plain-English description, so you write the exact text into the description and saving records it. The documentation’s own examples of text that must go out exactly as written are a booking link and a required legal sentence. Here is a description for Acme’s demo requests that carries both:

> When someone asks for a demo of Acme Ledger, thank them, mention what they want to see, and end the reply with these two lines, exactly as written: “Pick a time that suits you: `https://book.acme.example/demo`” and “This email is confidential and intended only for the named recipient.”

After **Save**, **Details** should show the two lines as fixed blocks and the rest as guidance. If a line is missing, reworded or merged into another sentence, write the description more plainly and save again. Details is read-only: to change the template, change the description.

## Which way should exact text reach the recipient?

**Choose by how much of the reply may vary: all of it, everything but the fixed blocks, or none of it.** A rule’s **Email reply** has two modes, **Draft for review → Approvals queue**, the safe default, and **Send automatically**, and a rule does one or the other, never both.

The documentation leaves two cases open, so this post doesn’t fill them in. It doesn’t say how [Preview, the rule editor’s dry run](/blog/preview-an-inbox-rule/), shows an email template, or whether a reply an auto-send rule writes itself uses one. For an auto-send rule whose words must never vary, the documented verbatim path is **Always send the same text**. On a drafting rule, check the draft in **Approvals ▸ Pending** before **Send**.

## When should a rule always send the same text?

**When the reply goes out without review and not one word may change.** **Always send the same text** is a tick-box under **Send automatically**: tick it, type a fixed reply, and that reply is sent verbatim on every matching email. A rule with pinned canned text involves no model at all, so there is no model to paraphrase it.

Unticked, the AI writes a fresh reply for each email in your writing style, and a fixed check runs before that reply leaves. Among other things, the check holds a generated reply for review when its subject or body carries a link or email address that isn’t the sender’s own address or at the sender’s domain. So a generated reply carrying your booking link waits for review, unless the sender writes from the domain the link points to.

Four more documented details apply to canned text:

-   **The subject still gets the check.** A canned reply’s body is your own text, but the subject it repeats from the incoming email gets the same check. If that trips, the reply waits in **Approvals ▸ Pending** with a note that the pre-send check flagged it.
-   **Asking the rule to look something up stops every send.** An auto-send rule that names context sources never sends: every reply it produces waits in **Approvals ▸ Pending** instead.
-   **One exact filter decides whether it fires.** The rule has to compile to a single condition on the sender’s address, the sender’s name, the subject or the body, and the AI never judges whether it applies. **Save** refuses anything that could match every email.
-   **It is written on the Rules page.** The Inbox chat rail creates rules from a plain-English request, but refuses to create one that sends automatically.

## What should a reviewer check before fixed text goes out?

**That Details carries the text, and that a person reads each draft before Send.** On a drafting rule, the fixed text reaches a recipient only through someone who can still change it.

-   **Details, after each change to the description.** Every **Save** of a changed description turns it into the structured rule again, so read the **Email template** each time.
-   **The draft, in Approvals ▸ Pending.** The reply body is inline-editable and saves when you click away, so whoever approves can change any word, a fixed block included. **Send** opens a confirmation dialog before anything goes out, because sending can’t be undone.
-   **The copy in Gmail.** When the Gmail connection carries the `gmail.modify` permission, Insulin mirrors each AI draft into your Gmail **Drafts** folder, where a person can change the text as well.
-   **The record, afterwards.** For a reply someone approved, **Approvals ▸ History** records the subject, the recipients, and who pressed **Send** and when; the **Sent** view under **Mails** shows the mail itself.
